VoIP & Cloud Phone Systems
#01
What Is a Cloud Phone System?
A cloud phone system is a modern business phone service that runs over your internet connection instead of traditional phone lines. It gives your business more flexibility, mobility, and advanced features without expensive hardware.
Key Benefits
- Make and receive calls from desk phones, computers, or mobile apps
- Built-in voicemail, call routing, auto-attendant, and call recording
- Lower monthly cost compared to traditional phone service
- Works from anywhere — perfect for remote or hybrid teams
#02
VoIP & Cloud Failover Scenarios & Options
Intermedia Elevate failover is designed as a business continuity feature so inbound calls can still reach someone even if the office internet, phones, power, or local network goes down.
How Failover Works
- A call comes into your company number
- Intermedia's cloud platform checks whether the assigned device/user is reachable
- If the desk phone, app, or office location is offline or unavailable, the call is automatically rerouted
- The call is sent to a predefined failover destination such as a mobile phone, another office, home phone, voicemail, or an alternate auto attendant
This monitoring and rerouting happens automatically inside Intermedia's cloud infrastructure.
A Key Detail
- Failover only activates when all assigned calling devices are unavailable
- If a user still has a mobile app or desktop app online, the system may continue ringing those apps instead of triggering failover
Typical Failover Scenarios
- Cox/Lumen fiber outage — see onsite ISP failover options offered by ATSC Internet Services
- Firewall failure
- Office power outage
- ISP instability
- Bad switch or PoE failure
- Employees working remotely during an outage
Example: Main office internet dies → desk phones unregister → Elevate automatically forwards inbound calls to employees' cell phones → customers continue reaching staff with little or no interruption.
Also Supported
- Simultaneous ringing
- Sequential call forwarding
- Custom forwarding profiles
- After-hours routing
- Emergency routing rules
- Voicemail-to-email backup workflows
The phone system itself lives in geographically redundant cloud datacenters, so a local office outage usually does not take down the core PBX service. For best practice deployments, many MSPs and telecom providers configure failover to cell phones, a secondary ISP (fiber + cable or LTE — see Internet Services), mobile apps enabled for all users, auto attendant emergency routing, and LTE backup on the firewall. That combination gives customers multiple layers of resiliency instead of relying on a single internet circuit — a cloud phone system without a failover plan is basically a race car on donut spare tires.
What Happens If the Primary Datacenter Fails?
When the primary server or even an entire Intermedia datacenter fails, the failover process is handled inside Intermedia's cloud infrastructure itself — not at the customer site. With Intermedia Elevate, the PBX platform runs in geographically redundant datacenters on both the East and West coasts, so no single PBX server is the only point of failure.
Simplified sequence:
- Your phones/apps are registered to Intermedia's cloud PBX platform
- The platform is hosted on clustered, redundant servers running in multiple datacenters
- If a PBX node/server fails, another node in the cluster takes over and registrations are re-established automatically — active calls may drop, but new calls resume quickly
- If an entire datacenter becomes unavailable, DNS/SIP routing shifts traffic to the secondary datacenter, phones/apps reconnect, and inbound calling resumes through the surviving site
Intermedia states their voice cloud uses geographically dispersed datacenters, redundant network architecture, multiple Tier-1 carriers, and redundant VMware/Linux server infrastructure — with redundant PBX components, replicated infrastructure, multiple upstream internet providers, and backup power/cooling systems.
| Failure Type | What Happens |
|---|---|
| Single PBX server failure | Calls may briefly interrupt while workload shifts to another node |
| Single switch/router failure in DC | Traffic reroutes internally |
| Full datacenter outage | Phones/apps reconnect to the secondary datacenter |
| Customer office outage | Calls failover to mobile/app/alternate routing |
Customer failover routing protects against your office outage, while datacenter redundancy protects against their infrastructure outage — two separate resiliency layers working together.
For most customers, existing active calls may disconnect during a major datacenter event, but new inbound/outbound calling usually restores automatically within minutes once registrations move to the secondary environment. Mobile apps often recover faster than desk phones because they're less dependent on local NAT/firewall behavior. This is why cloud VoIP providers emphasize geo-redundancy, distributed SIP infrastructure, DNS failover, and clustered PBX systems — the telecom equivalent of having a second engine already spinning at flight speed before the first one quits.
No cloud provider is immune to outages, and that's why many IT providers still recommend adding secondary ISP connectivity (see Internet Services), LTE firewall backup, mobile app deployment, automatic failover routing to cellular, and alternate emergency routing plans.
The strongest business continuity design combines: Intermedia geo-redundancy, customer internet redundancy, and user mobility via mobile apps/cell failover — creating protection against failures at nearly every layer.

Internet & Connectivity
#08
What Internet Speed Do I Need for VoIP?
VoIP calls require a stable, consistent internet connection. While VoIP uses very little bandwidth, the quality of your connection matters more than the speed.
Recommended Speeds
- Minimum: 1 Mbps up/down per active call
- Ideal: 5 Mbps up/down per active call
- For 10 phones: 10–50 Mbps up/down
Other Factors That Affect Quality
- Network congestion
- Wi-Fi interference
- Old or overloaded routers
- Large file uploads or backups
#09
How to Test Your Internet Speed
Testing your internet speed helps determine whether your connection can support VoIP, video calls, and cloud services.
How to Test
- Close any large downloads or streaming
- Connect your device directly to your router if possible
- Visit a speed test site
- Run the test and review your results
What to Look For
- Download speed
- Upload speed
- Ping (latency)
- Jitter
Recommended speed test tool: speedtest.net
Critical VoIP Speed Test Metrics
1. Latency (Ping) — measures delay between endpoints.
- Under 50 ms = Excellent
- Under 100 ms = Acceptable
- Over 150 ms = Users may notice delays/talk-over
Problems caused by high latency: delay in conversation, talking over each other, echo perception.
2. Jitter — one of the MOST important VoIP metrics; measures how consistent packet delivery timing is.
- Under 20 ms = Excellent
- 20–30 ms = Usually OK
- Over 30 ms = Problems likely
Problems caused by high jitter: robotic audio, choppy speech, words cutting out, audio distortion. VoIP likes consistency more than sheer speed — think of it like a marching band: if packets arrive unevenly, audio quality suffers.
3. Packet Loss — the BIGGEST red flag for VoIP; means some voice packets never arrive.
- 0% is best
- Under 1% = Usually acceptable
- Over 2% = Noticeable issues
- Over 5% = Serious problems
Problems caused by packet loss: missing words, garbled audio, dead air, call drops. Even tiny amounts of packet loss can wreck call quality.
4. Upload Speed — many people only look at download speed, but VoIP depends heavily on upload. Each VoIP call typically uses ~100 Kbps (high-quality codec with overhead), so 10 simultaneous calls may need 1–2 Mbps dedicated upload capacity. Bandwidth must be available during peak usage — a site with 500 Mbps internet but saturated by backups or streaming can still have terrible VoIP quality.
5. MOS Score (Mean Opinion Score) — some VoIP-specific tests provide this to estimate perceived call quality.
- 4.3–5.0 = Excellent
- 4.0–4.3 = Good
- 3.6–4.0 = Fair
- Below 3.5 = Poor

- Protects accounts even if passwords are stolen
- Reduces risk of phishing attacks
Common MFA Methods
- Text message codes
- Authenticator apps
- Hardware security keys
#61
What Is Ransomware and How Do You Protect Against It?
Ransomware is a type of malicious software that encrypts or locks access to systems and data, then demands payment (ransom) in exchange for restoring access.
Ransomware is treated as part of a broader category of advanced cyber threats, often delivered through:
- Phishing emails or malicious attachments
- Compromised credentials
- Fake login pages (credential harvesting)
- Exploit-based attacks on endpoints or servers
The focus isn't just on the encryption event itself, but on the full attack chain leading up to it.
#62
How eSure.AI Protects Against Ransomware
eSure.AI takes a prevention + detection + response approach rather than relying on backups alone.
1. AI-Based Threat Detection (Pre-Execution Blocking)
Uses AI/behavioral analysis to detect suspicious file behavior (like mass encryption activity), identify known ransomware patterns, and block malicious payloads before execution. Goal: stop ransomware before it runs.
2. Endpoint Protection (Containment Layer)
Monitors endpoint activity in real time, detects unusual encryption behavior, and isolates infected devices from the network when needed. Goal: prevent lateral spread across the network.
3. Business Email Compromise & Phishing Defense
Since most ransomware starts with phishing, suspicious email activity is flagged, malicious links/attachments are analyzed, and credential harvesting attempts are detected. Goal: stop the entry point of ransomware attacks.
4. SOC (Security Operations Center) Monitoring
A 24/7 monitoring layer provides real-time threat analysis, alert triage and response recommendations, and escalation when ransomware behavior is detected. Goal: human-backed response to AI-detected threats.
5. Containment & Recovery-Oriented Approach
When suspicious behavior is detected, endpoints can be quarantined, malicious processes stopped, and affected systems isolated to limit damage. eSure.AI is typically positioned alongside backup systems, disaster recovery platforms, and cyber insurance coverage.
Important Reality
eSure.AI is primarily a prevent + detect + respond platform (XDR-style security). It is not a backup system, a file recovery platform, or a guaranteed ransomware "undo" tool.
The strategy: stop ransomware early — and reduce impact if something slips through.
Simple Way to Think About It
- Email security = stops the door from being opened
- Endpoint protection = stops damage inside the building
- SOC monitoring = security guard watching everything in real time
- Backup system = insurance policy if all else fails
Key Takeaway
eSure.AI defines ransomware as a behavior-driven attack that must be stopped early in the infection chain, and protects against it using AI-driven detection, endpoint monitoring and isolation, phishing/BEC prevention, and SOC-based response — designed to reduce the chance of encryption happening in the first place, not just recover after it occurs.
Data Protection & Availability

What Vault America Protects
1. Business Data (Primary Focus) — documents (Word, PDFs, spreadsheets), databases (SQL and application data), file servers and shared drives, and application data (industry-specific systems).
2. Endpoints and Servers — depending on configuration: physical servers, virtual machines (VMware, Hyper-V environments), workstations and laptops, and remote devices for distributed teams.
3. Microsoft 365 and Cloud Data (if enabled) — Exchange email, OneDrive files, SharePoint sites, and Teams-related data in some configurations.
4. System Recovery Data — full server restores, bare-metal recovery (rebuilding an entire system), and disaster recovery failover scenarios.
5. Long-Term Retention / Archiving — compliance requirements, legal hold scenarios, historical data recovery, and version history restoration.
Simple Way to Think About It
Vault America is like a time machine for your data:
- Something breaks → restore it
- Ransomware hits → roll back to a clean backup
- User deletes something → recover the previous version
- Server fails → rebuild from backup
Key Takeaway
Vault America protects the availability and recoverability of business data, not the prevention of attacks themselves. It's a critical layer in a full IT security stack, especially for ransomware recovery and business continuity.

How Often Should My Business Back Up Data?
Backup frequency depends on how often your data changes.
Recommended Backup Schedules
- Daily backups: most businesses
- Hourly backups: high-transaction environments
- Real-time backups: medical, financial, or mission-critical systems
#66
What Is Disaster Recovery?
Disaster recovery ensures your business can quickly restore operations after a major outage, cyberattack, or equipment failure.
A Disaster Recovery Plan Includes
- Backup strategy
- Recovery time objectives (RTO)
- Recovery point objectives (RPO)
- Failover procedures
- Testing and verification

How Fast Can You Restore My Data?
1. File-Level Restore (Fastest)
Speed: minutes to under an hour · Use case: accidentally deleted files, small folders, single documents. Data is pulled directly from cloud backup storage and restored to the original location or downloaded — this is the most common "quick recovery" scenario.
2. Application / Database Restore
Speed: 30 minutes to several hours · Use case: restoring SQL databases, line-of-business apps, or corrupted datasets. Factors affecting speed include database size, number of transactions to replay, and bandwidth to the restore location.
3. Full Server Restore (Bare-Metal Recovery)
Speed: several hours to a full day · Use case: complete server failure, ransomware rebuild, or hardware loss.
- Provision new hardware or VM
- Restore OS image
- Restore applications and data
- Validate system integrity
4. Disaster Recovery / Large Environment Restore
Speed: hours to days · Use case: entire office or multiple servers recovered after a major outage. Variables include total data volume, internet bandwidth, and the number of systems being restored simultaneously.
What Affects Restore Speed Most
Even with a strong backup platform, recovery time depends on internet upload/download speed (often the biggest factor), size of the backup set, whether data is restored locally or over the internet, encryption/decryption overhead, server or VM provisioning time, and the complexity of the application environment.
Important Reality Check
Vault America is designed for reliable recovery, not instant recovery like a hot standby system. It's excellent for recovering from disasters, but it is not the same as instant failover replication (seconds-level recovery) like some high-availability systems.
Simple Summary
- Small file restore: minutes
- Database restore: under a few hours
- Full server rebuild: hours to a day
- Full environment recovery: hours to days
